How to Compare Catering Quotes in Sydney: Food, Service and the Real Total
Two catering quotes with different per-person prices may not be quoting the same event. One can cover delivered food; another can include a staffed service, equipment and pack-down. Before choosing, give every supplier the same brief and compare the work included. Here is a practical way to do that without relying on invented Sydney price benchmarks.

The Corporate Box

Explore The Corporate BoxWrite one event brief before asking for prices
Record the date, venue, guest count, eating time and purpose of the food. Is it lunch for the whole team, something alongside drinks, or a starter before another meal? Include dietary counts and any access or kitchen constraints. Send the same version to each supplier so a change in the brief does not masquerade as a difference in value.
Separate confirmed guests from an estimate, and say when the count will be settled. If an event has staff, speakers or suppliers who also need a meal, include them explicitly. Ask how a later headcount change affects quantities, the price and the booking conditions. Do not assume every provider uses the same cutoff or adjustment policy.
For a CBD office, specify the building and floor rather than just Sydney CBD. For a hired venue, state whether external food is permitted and whether there is an appropriate kitchen. Our CBD office catering guide includes a receiving checklist; the venue and BYO guide covers permission and facilities.
Make food quantities comparable
Look beyond the number of menu items. Six tiny bites and six substantial portions are not equivalent. Ask what each guest is expected to receive, whether the food is intended as a meal and what else the supplier assumes you will serve. A buffet, mixed box and plated menu need different comparisons.
With empanadas, distinguish the piece count from the number of guests. The Corporate Box contains 100 baked empanadas; the Party Box contains 60 with baked or frozen options. Neither box title replaces your event's portion calculation. For a substantial meal, Argentum's planning guide uses roughly three to four empanadas per person, adjusted for appetites and other food. A mixed-dietary group also needs enough suitable portions, not just enough total pieces.
Write down the allocation for the actual guest count and leave room for other menu components. See the empanadas-per-person guide for examples. Do not round a box's claimed serving range upwards just to make a proposal appear cheaper.
Compare food-only with full service honestly
Service scope varies even within one caterer's menu. As checked on 3 November 2026, Pomelo & Co's Sydney CBD page states that equipment, staff, beverages, delivery and setup are quoted separately from its displayed food prices. Sydney Slider Co's estimate page distinguishes its minimum booking value from additional itemised components. Those examples show why reading the inclusions matters; they are not price benchmarks or claims about every caterer.
Food delivered to an office may be exactly what you need if someone can set it out and manage the break. An event with several service periods, hired glassware and a venue handover may need a broader service. Choose according to the work required, not a belief that the simpler or more elaborate option is always better.
Argentum's catering boxes are food products. Do not assume that a box order includes waitstaff, a styled installation, tables, venue hire or cleaning. Describe any extra service you need and ask what can actually be arranged before committing.
Use a side-by-side scope worksheet
| Line to compare | What to write down | Question if unclear |
|---|---|---|
| Food | Items, total pieces and dietary allocation | Is this intended to replace the meal? |
| Format | Baked and ready to serve, or frozen to cook | Who prepares and serves it? |
| Delivery | Address, access and confirmed timing | Is delivery included in this quote? |
| Labour | Setup, service and pack-down responsibilities | Which people and hours are included? |
| Equipment | Plates, utensils, tables and hired items | Who supplies and returns each item? |
| Conditions | Final total, payment and change terms | What changes if headcount or date changes? |
Mark a blank line as unconfirmed, not free. Ask the supplier to correct the scope before comparing totals. If your venue charges separately for its own staff or equipment, keep those costs visible alongside the catering proposal rather than treating them as somebody else's problem.
Calculate an event total, then a per-person figure
Start with the confirmed food total. Add the other quoted components required for your event. Only then divide by the agreed guest count. Keep refundable deposits or hired-item bonds separate from the spending total so the budget and the cash needed before the event are both understandable. Confirm the supplier's tax treatment and final payable amount directly.
For illustration only, a hypothetical food quote of $600 plus $120 for delivery and setup totals $720, or $24 each for 30 people. A hypothetical $700 proposal including those same services is lower overall, even though its food headline looks higher. These figures are arithmetic examples, not Argentum prices or current Sydney market rates. If the second proposal feeds fewer people or omits dietary meals, it still is not a like-for-like comparison.
The same rule applies to a minimum spend. Ask whether it is the minimum booking value or a separate charge. Do not add it twice, and do not assume that reaching it includes service or delivery. Keep the written answer with the quote.
Check the venue and receiving plan
Tell the supplier about a loading dock, lift booking, security desk or walking-only access before the quote is final. An address can be close on a map and still require a very different handover. Nominate the receiving person and check that they will be available at the agreed time.
If you choose frozen food, include the equipment, storage and preparation responsibility in the plan. Frozen empanadas are not a substitute for ready-to-serve catering in a meeting room without a suitable cooking setup. Our office catering without a kitchen guide helps make that distinction.
Finish with a confirmation, not an assumption
Before accepting, reconcile the final headcount, dietary allocation, format, venue permission, serving time, itemised total and booking conditions. Ask about any discrepancy between the original enquiry and the revised proposal. Keep one final version rather than relying on different details scattered across messages.
For an Argentum proposal, send the same brief through the catering page. Check the current Corporate Box and Party Box pages for their contents and available options. If you are still deciding between a styled spread and substantial portions, read grazing tables versus finger food first. The useful outcome is not the lowest headline number: it is the right food and a clear agreement about the work around it.
