Sydney food and event guides
Product launch catering that fits the run sheet.
At a product launch, food has to fit the reveal, not compete with it. The useful planning question is not simply which canapé looks good: it is who needs to eat, when the room needs to be quiet and what the venue permits. For a Sydney showroom, office or approved external-catering venue, this guide separates guest food, crew meals and service logistics. Argentum's empanada boxes can supply the food component; they are not automatically a staffed activation, bar or styling package.

Explore The Corporate BoxWrite the event sequence before selecting the food
A press preview with staggered arrivals is different from a single presentation followed by drinks. Write down guest arrival, demonstration, photography, formal remarks and finish time. Mark the moments when people should be watching, handling a product or speaking to a camera. Those are usually poor moments for a crowded self-service table or noisy tray movement.
Then decide the food's role. Is it a substantial welcome before a short reveal, a meal after the presentation or a light addition to another caterer's menu? An event that crosses dinner time needs a different quantity and menu from a short afternoon preview. The invitation should make that expectation clear to guests.
Separate the crew meal from the guest count
Production staff, photographers, retail teams and presenters may be working through setup while guests arrive later. Put their food on a separate line in the brief. A guest allocation is not a reliable crew meal if the crew cannot leave the floor while guests eat. Equally, do not use the dietary portions reserved for guests as unplanned staff food.
Agree who receives the order and who owns service once it arrives. The event producer may be directing a rehearsal and unable to answer a delivery call. Give the receiving person the final access instructions and enough authority to place the food in the agreed location without interrupting the launch team.
A sample showroom launch run sheet
| Event moment | Food task | Person to nominate |
|---|---|---|
| Setup and technical checks | Separate crew meal or scheduled break | Production coordinator |
| Before guest doors | Receive food and confirm labels and serving location | Food lead |
| Welcome period | Open the planned first service | Host or separately arranged service team |
| Product reveal and remarks | Keep circulation and service clear of the presentation | Floor manager |
| Post-reveal conversation | Serve the next planned food allocation if appropriate | Food lead |
| Close and pack-down | Apply the food-safety and waste plan | Named closing contact |
These are sequence points, not promised delivery or holding times. Set the actual schedule with the venue and supplier. If the timing shifts, communicate the new serving requirement rather than assuming prepared food can wait indefinitely while production overruns.
Choose a service point that does not block the product
Keep the food table away from the only entrance, the media wall and the product demonstration. Leave a clear path for guests who need accessible circulation. If someone is collecting a drink and food simultaneously, give them somewhere sensible to pause rather than forcing them into the photography area.
Self-service and roaming service are different operations. Boxes of food do not provide people to circulate trays, collect used items or manage an alcohol service. If the venue needs professional staff or specific equipment, arrange those elements explicitly. An elegant launch can use a straightforward food order, but only if the surrounding responsibilities are covered.
Pick quantities after deciding whether guests have eaten
Use a planning estimate of two to three empanadas per adult with other substantial food, or three to four when empanadas carry the main meal. Adjust for appetite, duration and the entire menu. For example, 30 adults at three each means 90 empanadas before separately planned crew food. That is arithmetic, not a guarantee that 90 suits every launch.
The Corporate Box lists 100 baked empanadas; the Party Box lists 60 with its own format options. Review their actual contents and discuss any required mix. Newer flavours in the wider shop range are not automatically included in a standard mixed box. Use the quantity guide for more scenarios.
Venue approval comes before the food order
A showroom or gallery can have supplier restrictions even if it is not a conventional function venue. Ask whether outside food is allowed, whether the supplier needs approval, where deliveries enter and whether the venue imposes serving or waste requirements. Do not interpret an event photograph as evidence that any external caterer is permitted.
For a CBD office, confirm reception hours, loading access and lift arrangements. For a North Sydney event, compare the local venue guide, but obtain approval for your own booking. If there is no suitable oven or air fryer, discuss baked food rather than treating a microwave-only kitchenette as preparation capacity.
Food labels should help guests, not make unverified promises
Give guests the actual flavour names and confirmed dietary information. The Classic is vegetarian and Patagonia is vegan. Argentum does not offer gluten-free empanadas. Allergies, halal requests and other specific needs require confirmation for the actual order; a general event label is not enough.
Keep any confirmed special portions identified before general service. Ask which information the venue wants on labels and who places them. Avoid turning a brand activation's visual concept into fictional product claims. Styling can express the host's brand without renaming a filling so vaguely that guests cannot work out what they are eating.
Keep this guide separate from a drinks reception
If the occasion is simply a standing client catch-up, the client-drinks catering guide covers room flow and a shared food table. This launch guide adds the production sequence, crew allocation and reveal timing. If guests will sit through a working presentation with notes and laptops, the boardroom guide may be the more useful format.
Sydney launch-catering search results include businesses offering full production-conscious menus and service. For an event needing live chefs, a licensed bar or extensive styling, source that full scope explicitly. Choose an Argentum order when its confirmed food format fits the plan, not because the phrase product launch implies every event service is included.
Send a brief the food supplier can act on
Include date, address, approved supplier conditions, guest count, separate crew count, food time, reveal time, other dishes, dietary counts and receiving contact. State whether serving staff and equipment have already been arranged. Link the Sydney catering enquiry to the event's operational plan, not just a mood board.
A successful order is the right food in the right place at the agreed time, with the launch team free to focus on its guests. Confirm availability and delivery arrangements with Argentum before announcing the food supplier or treating the order as booked.
